Booking portal

The BEX PMS Booking portal overview provides a centralized list of all reservation attempts made through your Booking portal over the last 30 days.

Go to the Booking Portal overview in the Reservations module > Booking Portal

Booking statuses explained

Each entry in the portal is assigned a status based on the guest's progress.

Completed

The guest successfully finished the booking process, and a reservation has been created in the PMS. The reservation can be accessed by clicking the booking number.

Option

The guest has placed an optional booking through the website, which is now pending confirmation or payment according to your park's rules.

Not yet completed

The visitor is currently in the booking process or has abandoned the session.

If a guest enters their email address but does not finish the booking, BEX sends a reminder after several hours. This email contains a link allowing the guest to return to their session and finalize the booking themselves.

Taking over a "Not yet completed" booking

If a guest calls for assistance or you wish to convert a previously abandoned session into a booking, you can take over the reservation using one of two methods:

Take over via Checkout portal (website)

Use this method if you want to complete the booking through the website interface exactly as the guest sees it. This is quickly accessible through the Dashboard, but can also be done through the Booking portal.

  • Locate the booking in the Dashboard or Booking Portal.

  • Click the blue date & time link.

  • The system redirects you to the online Search & Book.

  • Complete the remaining steps on behalf of the guest.

Take over in PMS

Use this to convert the session into a booking within the BEX PMS environment, starting from the Booking portal.

  • Find the relevant entry in the Booking portal.

  • Click the three dots (â‹®) in the 'Actions' column and select 'Take over'.

  • A booking is created with all known data.

  • You can now edit details, add guest information, and send the confirmation and invoice directly from the reservation page.
