General invoicing and accounting settings
- Administration settings: PaymentsFor smooth financial management, you can set up default payment policies and payment reminders that apply to the entire administration, among other payment settings.
- Administration settings: InvoicesWithin the Invoice tab in the Administration settings, you can enter payment information, determine invoicing settings, set invoice templates, and more.
- Administration settings: AccountingIn the accounting settings of your administration, you set the journalization date, the VAT calculation date, and you can lock accounting records from before a set date.
- When to invoice guests: booking invoice dateIn the bookings tab of your administration settings, you can choose to invoice your guests upon confirmation, check-in, or check-out. This choice has an effect on the way payments and order changes are handled. It also affects the invoice date registered in your accounting.
- Correlation between invoice moment and journalizationThe administration settings regarding the invoice moment (when a booking invoice is created) and journalization (when turnover is recorded), together affect your accounting process. Various combinations are possible.
- Distributing revenue via 'Pre-invoiced turnover'Depending on your invoicing and journalization settings, you may invoice revenue before you wish to acknowledge it in your accounting. To manage this correctly, you need the general ledger account 'Pre-invoiced turnover' as a distribution key.
- Distributing revenue from seasonal or annual pitchesTo distribute revenue from long-term reservations across multiple months in your accounting, the invoice date must fall within the first month of the realization period. By using payment terms, you ensure that your guests can continue to pay in installments throughout the realization period.
- Show price per person per night on invoicesYou can choose to display the price per person per night on invoices, as standard.

- Determining cancellation fees in a cancellation policyYour cancellation policy applies to any cancelled reservation within your administration. Edit your cancellation policy to determine the amount of the cancellation fee.
- Adjusting exchange ratesIf you work with multiple currencies, the different exchange rates are automatically updated every night. However, it is also possible to fix an exchange rate to a specific value.
- Using multiple currenciesYou can set different currencies in BEX PMS based on your own needs. During onboarding, you and the Booking Experts team determine which currencies are necessary for your park to operate.
