Creating types

Types usually contain multiple objects that are very similar or identical. The type settings apply to all underlying objects.

Creating a new type

Go to 'Types' in the Setup module, and click the blue '+New' button. You’ll see a form that needs to be filled out to create a type. If a field is marked 'Optional', you can leave it blank if you want to.

  • Select the proper segment, which you have probably already discussed with your BEX Onboarding specialist. If you want this segment to be used as a filter and subtype on your BEX CMS website, check the box.

  • Enter the title of the type, this is the name that will be visible both in the PMS and on websites.

  • The short description cannot be longer than 150 characters, and is plain text only. In the longer description, rich text can be used. These descriptions are shown on the type’s CMS page, and may also be communicated through distribution integrations.

  • Any USPs added here are listed as bullet points.

  • Selecting a highlight priority determines if and how this type is additionally promoted in your Search & Book results.

Rooms & Spaces

This section includes optional fields for data that you may want to show online to accurately inform guests.

Amenities

Earlier in the onboarding process, you set up your amenity groups and amenities. The ones that apply to this type, can now be added.

  • The tabs are the various amenity groups, and when you click them, the amenities within that group will be shown. Check the ones that are available for the objects in this type.

Note that you should only add amenities that apply to all objects within this type. Otherwise, it is better to add the amenity to individual objects instead.

House rules

The house rules section sets limitations and conditions for booking the type.

  • Set the maximum amount of occupants this type can have. Initially, you need to enter the total maximum number and apply it to all age groups that use a full bed (seniors, adults, teenagers, and children). If desired, you can add another line to make more specifications, like a maximum number of pets.

  • Set a custom check-in and check-out time for this type, or use the check-in and check-out times as set in the administration settings.

  • Allowing a late check-out requires you to set a deviating check-out time. Check the box to allow guests to book this as an extra, either during the original booking or later via the guest portal. If you do not check this box, only your employees can add a late check-out to a reservation.

A late check-out can only be booked through your own website or added manually by an employee; it cannot be booked through an external channel.

  • Select the appropriate terms and conditions from the list. If the option you want is not available, make sure these terms and conditions have been added.

  • Any text entered in the 'attachment text for emails' field can be added to auto emails or templates about reservations for this type by using the 'Attachment text HTML' tag.

  • Any text entered in the input field 'Additional house rules' can also be added to auto emails about reservations for this type. This field is also important to fill if you advertise the type via Airbnb.

Availability

  • It is mandatory to select an arrival and departure scheme.

  • Enter a minimum number of nights required for any booking on this type. The default is 1. Optionally, also enter a maximum number of nights.

  • Accepting same day bookings means the automatic confirmation of new reservations that will arrive that same day. You can set a deadline for this, if you want to avoid people booking and arriving late in the day.

A same-day booking can only be made through your own website or by an employee; it cannot be done through an external channel.

Additional settings

The additional settings of a type contain optional details that help you identify and match this type to registrations in any other systems that you use. You can also add a deviating address, if the type address is different from the administration address.

Invoicing & accounting

  • Select a ledger account to book the incoming rent onto.

  • Optionally, enter invoicing details and instructions in the text field. These invoicing details are especially convenient if you also intend to check 'Do not invoice the rent'.

  • Activating 'Do not invoice the rent' means you intend to manage payments outside of BEX PMS.

  • Activate settling meter readings with your guests only if you actually use the meter readings module of BEX PMS.
